Visa & Entry Procedures
To ensure a smooth journey to Japan for the Congress, please follow the 3-step checklist below.
Beware of fraudulent emails offering visa assistance or registration in exchange for payment. If you are unsure about the legitimacy of any communication, please verify the sender’s email or contact us directly at secretariat@aspire2027.com.
Step 1: Check Your Entry Requirement
Category A: Visa-Exempt Nationalities
If you hold an ordinary passport from countries or regions with visa exemption arrangements, you may enter Japan for conference purposes without a visa.
- Duration of Stay: The permitted period of stay (e.g., 15, 30, or 90 days) varies by nationality. Please refer to the Exemption of Visa (Short-Term Stay) official list for the exact duration applicable to your passport.
⚠️ Note on JESTA (Upcoming System): Japan is planning to introduce JESTA(Japan Electronic System for Travel Authorization) for visa-exempt travelers. This system is scheduled for full implementation by April 2028. While not yet mandatory for the 2027 Congress, participants are advised to monitor updates on the Ministry of Foreign Affairs (MOFA) Visa page.
Category B: Nationalities Requiring a Visa
If your country is not on the visa exemption list, you must apply for a visa before traveling to Japan. Please proceed to Step 2
Step 2: Apply for a Visa (Standard vs. eVISA)
If your country is not on the exemption list, please identify the correct application path.
Path 1. Standard Short-Term Stay (Business) Visa
- Where to Apply: You must submit your application to the Japanese Embassy or Consulate with jurisdiction over your place of residence.
- Purpose: Best for “Business/Conference” participation.
- Congress Invitation Letter for Visa Application: You may be required to provide an official invitation as part of the visa application process. You will be guided to apply for invitations at the end of the registration process or can find the application link in your registration confirmation email. The Congress Secretariat will issue the invitation only once registration and payment are confirmed.

- No Visa Services Provided: Please note that the Congress Secretariat DOES NOT provide visa application services or act as an agent for your visa process. It is the sole responsibility of the participant to handle their own visa application and related procedures.
- An invitation letter does not guarantee a visa. The final decision is made by the Japanese diplomatic missions.
Path 2. JAPAN eVISA (Electronic Visa)
The JAPAN eVISA system is an online portal primarily for Tourism purposes.
Note: This system is for non-visa-exempt residents living in specific locations. If you already hold a visa-exempt passport, you DO NOT need an eVISA.
Step 3: Register on Visit Japan Web
All travelers (both visa holders and visa-exempt) are strongly encouraged to register their arrival information online (Visit Japan Web Official Site before flying to expedite immigration and customs procedures.
🛑 IMPORTANT NOTICE
Visit Japan Web is NOT a Visa or JESTA. It is a digital declaration for Immigration and Customs once you arrive. You still need a valid Visa or JESTA (if required) to board your flight.
Step 4: Final Departure Checklist
- Passport: Must be valid for the duration of your stay (6+ months recommended).
- QR Codes: Ensure you have saved your Visit Japan Web QR code on your mobile device.
